Why this service exists

At Rho it’s not enough to be there: you have to hold the pace of the halls

The Rho venue is among the largest in Europe: kilometres of corridors, halls that look alike, visitors arriving in waves and days that start well before the public opening. The staff that work here aren’t simply “presentable”: they are people who have already worked these spaces, who know where the gates are, who don’t switch off at the seventh hour.

Fiera Milano Hostess is the showcase of OPEN S.r.l. — Stay Open, an events agency listed on MePA, dedicated to exhibitors at the Milan venues. We select only people living in Milan and its hinterland: that means no travel costs on the invoice and no risk tied to late trains on inauguration morning.

We take care of everything around the people — selection, contracts, mandatory notifications, insurance, product briefing, shifts, replacements — and leave you a single contact and a single invoice. You think about who enters the stand, not about who staffs it.

Services

Six modular services, one point of contact

Take them one at a time or combine them. The quote stays single, fixed and with no surprise items.

Welcome hostesses and stewards

Staffing the entrance: greeting, qualifying, directing.

In the Rho halls the flow is unpredictable: half an hour of quiet and then thirty people at once. The welcome figure keeps the pace, recognises who should be walked to a salesperson and never leaves the entrance uncovered.

  • Welcome in Italian and English, other languages on request
  • Visitor qualifying against your priorities
  • Guest list, invitation and appointment management
  • Break rotation without uncovering the entrance

Promoters and product specialists

The people who stop the visitor and can explain the product.

Sales-minded profiles, trained before opening on your catalogue and on the message approved by marketing. Essential when the product must be demonstrated, tried or compared with the competitor in the next hall.

  • Product briefing by video call or in person in Milan
  • Agreed, memorised presentation script
  • Demos, hands-on trials, tastings and sampling
  • Daily report on recurring objections and questions

Interpreters and bilingual hostesses

The Milan shows are international: your stand should be too.

Buyers, distributors and trade press arrive from all over Europe and Asia. We provide business interpreters and hostesses whose language level is checked at interview and whose terminology is prepared on your materials.

  • English, French, Spanish, German, Portuguese, Russian, Chinese, Arabic
  • Negotiation interpreting at the stand and in meeting rooms
  • Language support at conferences in MiCo
  • Translation of product sheets and floor materials

Profiles

The people you can have on the stand

Each profile has a precise role on the stand. We propose a shortlist of candidates: you choose, and if one doesn’t convince you we replace it before confirmation.

Welcome hostess
Polished presence, flow management

Welcome hostess

The most-requested profile in the Rho halls. Welcomes, qualifies and directs, holding the same tone from opening to closing, even on ten-thousand-footfall days.

  • Fluent Italian and English
  • Documented Rho experience
  • Guest-list handling
  • Polished presence
Stand steward
Order, presence, felt security

Stand steward

For large stands or delicate displays: keeps paths clear, protects the build and gracefully handles crowd pressure on public days.

  • Flow and queue management
  • Care of the build
  • Assistance for visitors with disabilities
  • Long shifts on your feet
Promoter / product specialist
Knows the product and can tell its story

Promoter / product specialist

Studies the sheets before opening and gives back a story consistent with the brand’s positioning. Can hold their own with the technical questions of a professional audience.

  • Sales aptitude
  • Product recall
  • Stand public speaking
  • Objection handling

Sectors

Exhibitors we work with

Each product category has different stand dynamics: the visitor changes, the right profile changes.

Furniture, design and lighting

Immaculate stands and visitors who touch everything. You need care of the build, the ability to talk about materials and finishes, and appointment management with buyers.

Hospitality, food and professional beverage

Tastings, demonstrations and equipment in use: staff handle samples and queues while keeping the area spotless and compliant with hygiene rules.

Fashion, textiles and accessories

Buyers by appointment, temporary showrooms and confidentiality on sample collections: managing the agenda matters more than headcount.

Engineering, energy and construction

A technical audience and long days. The value is made by qualifying: getting only worthwhile visitors to the engineer.

Health, pharma and congresses

A regulated setting between Rho and MiCo: accreditations, attendee registration, room management and strict adherence to procedures.

Tourism, services and institutions

Regional collectives and institutional pavilions hosting several companies: it takes direction that coordinates different parties under one roof.

Method

From the first message to the end-of-fair report

A tracked path with clear deadlines. You always know where we are and what’s needed from you.

  1. 1 · Briefing and goals

Thirty minutes to define hall, size, opening days, commercial goal and languages needed. Out of it comes the real number of people you need.

  2. 2 · Written quote in 24 hours

Profiles, headcount, hours, daily cost per role, any extras and the total. No surprise items on the invoice.

  3. 3 · Selection in the Milan area

We draw on the Milan and hinterland database. You get a shortlist with photo, experience, languages and availability: you choose, and if a profile doesn’t convince you we replace it before confirmation.

  4. 4 · Contracts and paperwork

Engagement, contracts, mandatory notifications, insurance and payments are on OPEN S.r.l. The exhibitor gets a single invoice.

  5. 5 · Product training

A briefing over video call or in person in Milan, on your materials and with the script you approve. The team arrives knowing the product names.

  6. 6 · Fair and continuous support

Team leader in the hall where planned, daily roll-call, immediate replacements and an agency contact reachable for the whole event.

  7. 7 · Report and close-out

Attendance statement, file of collected contacts and a short note on what worked and what we would change next edition.

Comparison

Milan agency, self-service portal or a team brought in from elsewhere?

To staff a stand at Rho or MiCo you almost always choose between three routes. The deciding factor is not the list price, but how much risk and internal work is left on you in fair week.

Where the staff come from

Fiera Milano Hostess

People living in Milan and its hinterland, already used to the Rho halls.

Alternative

Teams brought in from other cities, with travel and lodging on you.

On five people over five days the difference is substantial.

Who selects

Fiera Milano Hostess

Individual interview and verified work history for every proposed profile.

Alternative

Self-application on a portal, assessed on a photo and a form.

Selection is the first filter on absence risk.

Paperwork and contracts

Fiera Milano Hostess

Contracts, notifications, insurance and payments handled by the agency.

Alternative

On the exhibiting company, which becomes the employer of each individual.

This is where a “cheap” engagement becomes expensive.

Cover in case of absence

Fiera Milano Hostess

Guaranteed replacement from reserves already identified in the Milan area.

Alternative

A last-minute search on you, mid-fair.

An uncovered entrance on the trade day is worth more than a day’s fee.

Product training

Fiera Milano Hostess

Advance briefing on your materials and a script approved by marketing.

Alternative

An improvised introduction on the morning of opening.

It determines the quality of what the visitor hears.

Contact during the fair

Fiera Milano Hostess

A team leader in the hall plus an agency contact reachable every day.

Alternative

No one: each person answers only to themselves.

It sets how much time your stand manager spends coordinating.

Apparent cost

Fiera Milano Hostess

Higher in the quote, fixed and with no hidden items.

Alternative

Lower at first sight, with indirect costs on your time.

An honest comparison is made at equal risk taken on.

For a small stand open a few days, with trusted people already in the city, direct hire is a legitimate choice. For major builds, an international audience and a lead-collection goal, the structured agency reduces the risk at the very moment you cannot afford anything to go wrong.

Who provides hostesses for Fiera Milano Rho?

OPEN S.r.l. (trading as Stay Open), an events agency listed on MePA, provides through fieramilanohostess.it hostesses, stewards, promoters and interpreters to exhibitors in the Fiera Milano Rho (Pero) and Allianz MiCo venues. Staff are selected in Milan and its hinterland; the agency handles selection, contracts, training and on-site coordination.

How much does a hostess for a fair in Milan cost?

The cost depends on the profile, the number of days, the daily hours and the languages required. A standard 8-hour day for a bilingual welcome hostess sits in the mid-range of the Milan trade-fair market; business interpreters, conference hostesses and team leaders cost more. OPEN S.r.l.’s quote is written, fixed and issued within 24 working hours, inclusive of contracts, paperwork and insurance.

Are the staff from Milan or brought in from elsewhere?

They are selected exclusively in Milan city and its hinterland. This removes travel and lodging costs from the invoice and reduces the risk of delays on opening day. For special needs — rare languages or very specific profiles — we can draw on other cities, indicating any travel cost in the quote.

How far in advance should staff be booked?

Three to six weeks before opening is the recommended window; for the biggest shows it’s worth moving two months ahead because the best profiles are optioned early by long-standing exhibitors. Requests with 48 hours’ notice are still assessed, subject to remaining availability.

Do you serve Allianz MiCo and not only Rho?

Yes. We cover both Milan venues: Fiera Milano Rho, in Pero, for exhibitions, and Allianz MiCo, in the Portello area, for congresses and conventions. For MiCo the most requested service is congress support: registration desk, badges, access control and room assistance.

How many people does a stand at Rho need?

As a rule of thumb: one welcome figure per 40–60 m² of stand open to the public, plus one promoter for each product area and a team leader from four people up. The Rho halls have very concentrated flows, so it’s worth slightly over-staffing on peak days rather than spreading the same headcount across all days.

FAQ

Exhibitors’ frequently asked questions

Do you provide staff for a single day too?

Yes. Many exhibitors reinforce the team only on the busiest days or the press and trade days. A single day is possible; below four hours a half-day minimum applies.

Are uniforms included?

The basic dress code — dark suit, tailleur, total black or smart casual as agreed — is included. Branded uniforms or specific styling are supplied by the company or produced by us with a dedicated quote.

What happens if someone doesn’t show up?

The replacement is guaranteed and on us. For the biggest events we keep reserve profiles reachable in the Milan area for the whole fair.

Does the staff already know the Rho halls?

In the vast majority of cases yes: we favour profiles with documented experience in the venue, who can move between gates, services and loading areas without being escorted.

Do you handle exhibitor badges for the staff?

We assist with the procedure: badges are requested by the exhibitor on the Fiera Milano portal. We provide the full named list of required details in good time and check accreditations are finalised before opening.
